Duties and Responsibilities

  • Maintenance
  • Coordinate closely with the hotel's Chief Engineer and assist on specifications as required and agree on handling of maintenance and support of:
  • Telecommunications
  • In Room Entertainment System
  • Audio Video Systems
  • Building Maintenance/Control systems
  • Keylock and Key card System
  • Ensure that systems have no errors, no response time issues, minimum of downtime, and performs according to documented specifications.
  • Manage ongoing maintenance of systems and ensure that appropriate service contracts if deemed necessary are in place.
  • Maintain a record of maintenance contracts and constantly monitors the preventative maintenance program executed by the contractors.
  • Review maintenance contracts with the Financial Controller, General Manager and, if required, the regional Vice President of Technology at least three months prior to the expiry.
  • Support
  • Coordinate closely with the hotel's Chief Engineer and agree on handling of support issues for:
  • Telecommunications
  • In Room Entertainment System
  • Audio Video Systems
  • Building Maintenance/Control systems
  • Keylock and Key card System
  • Maintains and manages list of support issues and coordinates with the software vendor or service provider for an immediate resolution.
  • Ensure that a structured escalation procedure is published to provide 24 hour support to the hotel guest and staff.
  • Identifies and trains with the concurrence of the department head, appropriate shift personnel to solve minor technology related problems.
  • The ITTM or designated alternative will be available on call basis 24 hours a day 7 days a week.
  • Ensure that issues deemed critical are promptly advised to the regional Vice President of Technology.
  • Enhancements
  • Review the existing system and technology and constantly make recommendation to facilitate and enhance hotel operations.
  • Communicate with department heads regarding changes, enhancements, replacements or additions to systems and technology.
  • Purchasing
  • In coordination with both purchasing and end user department; reviews technical specifications and approves the purchase of the following in view of business or functional requirements:
  • Hardware and Software
  • Telecommunications
and Related

  • In Room Entertainment
  • High Speed Internet
  • Audio Video Systems
  • Keylock System

Note:

final approval for any purchases is provided through predetermined purchasing policies and the ITTM has no authority to commit the company to any expenditure unless the proper authority has been gained.


  • In coordination with the business owner, will support the justification of the new initiatives with the department heads.
  • In coordination with the business owner and the regional Vice President of Technology, draft a Request for Proposal (RFP) for major projects and initiatives.
  • In coordination with both purchasing and the end user department, justifies and approves all capital expenditure requests for systems and technology.
  • In coordination with purchasing, arrange for the purchases of hardware, software, cabling, training and installation for approved projects using approved local suppliers and competitive tendering under guidelines issued by the group.
  • Coordinate and supervise the installation of all IT&T related hardware and software with vendors and departments concerned.
  • In conjunction with the end user department, implement and manage IT&T asset replacement plan to ensure that the hotel's system and technology is progressively kept current and up to date.
  • Establish and maintain relationships on behalf of the hotel with hardware and software vendors. Act as the primary contact for all external agents for technology matters affecting the hotel.
  • Financial
  • In coordination with the end user department head, assist in the budgeting process for new technology projects.
  • Prepare the annual departmental IT&T capex and operating expense budget.
  • Responsible and accountable for the actual departmental IT&T capex and operating expense.
  • Responsible for maintaining updated IT&T asset listing.
  • Administration
  • Call and chair regular monthly technology steering committee meetings attended by the hotel's executive committee to discuss technology related issues.
  • Copy the regional Vice President of Technology on the minutes of the technology steering committee meeting.
  • Organize all documents, manuals, master software, spares, etc in a such a way that they are secure but readily available.
  • Maintain documentation and manuals of all computer technology up to date and in good order.
  • Maintain and update all software manuals to ensure their validity and accuracy.
  • Maintain a log of backups and locations of all media stored in the offsite backup storage.
