Roles & Responsibilities:


The primarily responsibilities of the Proposal Coordinator/Proposal Manager is to support sales and account management initiatives globally through the preparation of proposals, executive summaries and cover letters, due diligence materials, client servicing materials, and other sales/marketing pieces aimed at generating new sales and retaining strategic institutional and intermediary relationships (and new sales).

The Proposal Coordinator is also responsible for coordination, completion and oversight of specifically assigned tasks such as data gathering and data analysis, continual development and updating of RFP Product database (RFPIO), and own/manages specialized projects as assigned; including backing up the Senior Proposal Managers for all RFP related items.

Improve common content by finding gaps in current material and soliciting new material. Experience with SharePoint, Smartsheet, Acrobat, Visio, Tableau is a plus.


The Proposal Coordinator/Proposal Manager will also be responsible for managing client requests in the form of Request to Proposals (RFP's), Request to Information (RFI's) and other client requests of related nature by liaising with product SME's and other sub-groups within Broadridge like BISG, legal, HR, finance, marketing, etc.

This includes providing draft responses, ensuring quality and accuracy of content by working with SME's, regular communication with the account team members, formatting/packaging of the deliverables and final submission within the mentioned timeframes.

Review and edit executive summaries and cover letters to ensure accuracy and consistency in content, grammar, style and adherence to Broadridge brand standards and relevance to client requirements.

Update existing and create new sales collateral for the document library including PowerPoint, PDF, Excel, Word documents, Single Topic Sheets, and Proactive Proposals.


An integral part of the above process is to continually enhance our database of RFX responses (RFPIO) by taking proactive ownership of cleansing and uploading pre-approved product responses into the tool on a regular basis.


  • Assist Sales Executives and business personnel in the management of RFP/RFI/Questionnaires/Surveys and in the creation of a response document to the client. Documented workflow requires coordinating and leading a team made up of sales executives, product specialists (SME's), corporate finance/pricing, legal and others throughout the company and seeing document through final QC review and submission to the client within preestablished due dates.
  • Edit existing executive summaries to ensure accuracy and consistency in content, grammar, and style. Review executive summaries and cover letters to ensure adherence to Broadridge brand standards and relevance to client requirements.
  • Update existing and create new sales collateral for the document library including PowerPoint, PDF, Excel, Word documents, Single Topic Sheets, and Proactive Proposals.

  • Assist Sales Executives and business personnel in the management of RFP/RFI/Questionnaire/Surveys et al in the creation of a response document to the client.
  • Provide bid management of proposals/RFI, develop win theme and solution vision, create or enhance proposal language.
  • Maintaining the knowledge base (RFPIO) by identifying information within the knowledge base or document libraries and working with product specialists in the business to update database for most current information on product features and functionalities.
  • Update existing and create new sales collateral for the document library including Powerpoint, PDF, Excel, Word documents, and overview documents.
  • Ensure accuracy and consistency with Broadridge brand.
  • Contribute to enhancement of practice decks, service offerings and case studies and work with marketing team on research and event materials
  • Work on other adhoc projects as assigned
