- Conduct systematic verification of patents, trademarks, utility models, designs, and supplementary protection certificates (SPCs) against official PTO online systems and databases worldwide.
- Compare client IP data with official patent and trademark office databases to identify discrepancies.
- Research and resolve data inconsistencies, missing information, and conflicting records.
- Monitor PTO status updates, legal status changes, and official notifications.
- Identify invalid, lapsed, abandoned, or inconsistent IP rights within client portfolios.
- Ensure accuracy of IP numbers, filing dates, grant dates, renewal deadlines, and legal status information.
- Document verification findings and flag issues requiring escalation or client communication.
- Review client portfolio data files and identify anomalies, gaps, or data quality issues.
- Conduct portfolio audits to assess data completeness and accuracy.
- Analyze portfolio updates from clients and flag inconsistencies for review.
- Execute established data verification workflows and quality control procedures.
- Apply verification rules and checkpoints to incoming client data.
- Identify patterns in data errors and contribute to process improvement discussions.
- Prepare summaries of verification findings for Associate Director review.
- Support client data intake and onboarding processes.
- Perform data mapping from various client file formats.
- Assist with data migration projects and portfolio transitions.
- Communicate data discrepancies and verification findings to clients as directed.
- Respond to client inquiries regarding portfolio data under supervisor guidance.
- Meet verification volume and quality targets set by management.
- Support Sales and Account Management with portfolio data inquiries.
- Collaborate with other verification specialists and support training of new team members.
- 3-5 years of experience in IP data management, IP operations, patent/trademark searching, or related IP services roles.
- Working knowledge of patent and trademark office systems and databases across multiple jurisdictions.
- Experience with data verification, quality control, or data analysis in a professional setting.
- Working knowledge of intellectual property concepts including patents, trademarks, utility models, designs, and SPCs.
- Understanding of both patent and trademark data structures, legal statuses, and filing requirements.
- Experience with IP management software.
- Background in patent or trademark prosecution support or trademark searching, clearance, or portfolio management.
- Knowledge of trademark classification systems (Nice Classification) and Madrid Protocol.
- Experience with data migration or data cleansing projects.
- Knowledge of APIs or automated data retrieval tools.

Position Overview
We are seeking a detail-oriented and analytical Portfolio Management and IP Verification Specialist to support our global IP data integrity and portfolio verification operations. You will work under the direction of the Associate Director of Portfolio Management and IP Verification to execute data validation workflows, conduct portfolio assessments, and maintain the highest standards of data quality for our clients.
This is an individual contributor role requiring strong analytical skills, expertise in IP data systems, and meticulous attention to detail.
