- Oversee daily office operations, including facilities management, office environment, supplies procurement, inventory control, and fixed asset management
- Manage office equipment operation and maintenance, vendor coordination, and cost control
- Independently handle day-to-day administrative matters to ensure efficient office operations
- Coordinate internal meetings, employee activities, and HQ-linked or regional events
- Handle venue setup, logistics, materials preparation, budget tracking, and post-event follow-up
- Support business receptions and visiting delegations when required
- Align local administrative practices with global HQ systems and standards
- Adapt and optimize local admin processes such as attendance, travel reimbursement, and logistics support based on local laws and cultural norms
- Monitor implementation and continuously improve efficiency and compliance
- Support high-level business receptions involving government entities, partners, and HQ visitors
- Liaise with property management, suppliers, and service providers (cleaning, security, catering, etc.)
- Manage vendor performance and service quality independently
- Coordinate business travel arrangements including flights, accommodation, and transportation
- Review and submit travel-related expense documentation
- Support employee logistics such as accommodation, meals, and visa-related coordination when required
- Ensure administrative operations comply with local labor, safety, and administrative regulations
- Oversee office safety management, identify potential risks, and handle administrative emergencies
- Support licensing, permits, and compliance-related administrative matters
- Prepare and submit administrative reports and documentation
- Provide regular updates to the APAC Admin Manager
- Coordinate with other regional offices on administrative initiatives
- Bachelor's degree preferred in Administration, Business Administration, or related fields
- Diploma candidates with solid experience in multinational or global companies may be considered
- 5+ years of administrative or office management experience
- Ability to independently manage full-spectrum administrative responsibilities
- Experience working in Dubai or Malaysia is a strong plus
- Prior exposure to multinational, regional, or overseas office administration is preferred
- Fluent in both English and Mandarin (working level required) to liaise with global HQ and stakeholders
- Strong coordination, organization, and process improvement skills
- Experience with cost control and vendor management
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Comfortable handling office systems, equipment, and administrative tools
- Highly organized, detail-oriented, and dependable
- Strong communication and cross-cultural coordination skills
- Able to work independently, manage pressure, and prioritize tasks effectively
- Adaptable to a fast-paced, international working environment
- Willing to work long-term in the local office
- Valid local driver's license is a plus
